Terms Conditions
By making any enquiry, booking, registration, payment, or participating in any travel-related products provided by Square Traveller Sdn Bhd (hereinafter referred to as “the Company”), including but not limited to travel photography tours, small group tours, customized tours, private tours, or any related add-on services (hereinafter referred to as “the Tour”), the traveler (“the Traveler”) is deemed to have read, understood, and agreed to these Terms & Conditions.
1 | Booking Procedure, Deposit & Payment
- All trips require a deposit to secure the booking and related resources, including but not limited to flights, accommodation, photography services, transportation, and local arrangements.
- The deposit amount will be clearly stated in the quotation, confirmation letter, or invoice.
- All deposits paid are strictly non-refundable and non-transferable.
- The remaining balance must be paid in full within the timeframe stated in the invoice or confirmation letter.
- Failure to complete payment within the stipulated period may result in the booking being treated as cancelled by the traveler, and the Company reserves the right to release the slot without prior notice. The deposit will not be refunded.
- All prices are quoted in Malaysian Ringgit (MYR / RM), unless otherwise stated in writing.
2 | Cancellation, Refund & Charges
2.1 Cancellation by Traveler
- All cancellations must be submitted in writing (including but not limited to email or formal messaging), and will be effective based on the date received by the Company.
- If a traveler cancels the booking due to personal reasons, all payments made (including deposit and balance) are non-refundable. We appreciate your understanding.
- The only exception is as follows:
- The traveler finds a suitable replacement.
- The replacement must meet all requirements of the trip, including but not limited to age, visa, health condition, and itinerary requirements.
- The transfer is subject to the Company’s written approval.
- Any price differences, administrative fees, or supplier charges arising from the replacement shall be borne by the original traveler or the replacement.
2.2 Refund Arrangement
- If any refundable amount is applicable, the refund shall be subject to:
- Deduction of administrative charges
- Deduction of bank or platform processing fees
- Deduction of all non-refundable third-party costs (including but not limited to air tickets, accommodation, and ground services)
- Refund processing time is subject to the respective banks or payment platforms.
3 | Amendments & Transfers
- Any changes involving names, travel dates, or itinerary details must be approved by the Company and relevant suppliers.
- All amendments may be subject to additional charges.
- Bookings are not transferable without prior written consent from the Company.
4 | Minimum Group Size
- All trips are subject to a minimum group size requirement.
- The Company reserves the right to adjust departure dates or itinerary structure.
- If a trip is cancelled due to insufficient participants, the Company will refund the amount paid by the traveler to the Company.
5 | Right to Amend Itinerary
- The Company reserves the right to make reasonable changes to the itinerary, including sequence, attractions, accommodation, transportation, or photography arrangements due to weather, safety concerns, traffic conditions, unforeseen circumstances, or operational requirements.
- All alternative arrangements will be of similar or higher standard.
- Such changes shall not be considered a breach of contract and shall not be grounds for any refund or compensation.
6 | Travel Photography Terms
- Photography services provided are for travel documentation purposes and are not equivalent to private or commercial photography sessions.
- The number of photos, composition, scenes, and final results may vary depending on factors including but not limited to weather, lighting, location restrictions, crowd conditions, time constraints, and traveler cooperation. The Company does not guarantee a fixed number of photos or specific shots.
- Post production will be conducted based on the Company’s aesthetic standards, style, and branding.
7 | Traveler Obligations & Conduct
- Travelers are responsible for ensuring that their passport is valid for at least six (6) months and that all necessary visas, permits, and health documents are obtained.
- Travelers must ensure they are physically fit to participate in the trip.
- Any missed activities due to personal reasons (including lateness, non-compliance, or health issues) will be considered voluntarily forfeited and are non-refundable.
- Travelers are solely responsible for any consequences arising from their personal conduct during the trip.
8 | Travel Insurance
The Company strongly recommends that travelers purchase comprehensive travel insurance. The Company shall not be held liable for any loss, delay, accident, or medical expenses incurred if the traveler fails to obtain insurance.
9 | Force Majeure
The Company shall not be liable for any changes, delays, or cancellations resulting from force majeure events, including but not limited to natural disasters, epidemics, wars, government actions, strikes, or transportation disruptions.
10 | Image & Media Rights
The Traveler agrees that the Company may use photographs and videos taken during the Tour, free of charge, for branding, marketing, promotional, and social media purposes.
11 | Amendment of Terms & Website Content
Square Traveller Sdn Bhd reserves the right to amend or update this website and its Terms & Conditions at any time without prior notice. Continued use of the website or confirmation of booking constitutes acceptance of the revised terms.
12 | Final Acknowledgement
Payment made by the Traveler constitutes full understanding and acceptance of all Terms & Conditions stated herein.
